City of Stockholm

When we spoke with Staffan Ramstedt, Technical Specialist and Lift Coordinator at the City of Stockholm’s property management organisation, we quickly arrived at one simple but critical question:

“What’s the true condition of our lifts?”

Previously, answering that often meant investigations, long email threads, and multiple technician visits. Tenants might report major issues — but the evidence was unclear. Was it a recurring problem, or a one-off incident?

With today’s solution, the City of Stockholm gets something entirely different: clear, realtime data-backed proof of how each lift has performed over time.

The challenge

When lift issues are described through experience rather than evidence, it’s easy for decisions to be driven by gut feeling. For the City of Stockholm, that meant spending time clarifying what had actually happened — and sometimes making decisions based on incomplete information.

This was especially important when communicating with tenants and municipal operations such as Stockholm City Theatre, the Sports Administration, and various district administrations.

The solution

Instead of relying on assumptions, Staffan can now see — in one place — what the lift’s “health” has looked like over time:

  • how the lift has performed historically

  • when issues occurred and how often

  • whether the lift is running well — or if it “struggled” during a specific period

This makes it easier to avoid incorrect conclusions, prioritise the right actions, and communicate clearly with both internal stakeholders and tenants.

.

The impact

The solution has become a practical decision-support tool in day-to-day operations — essentially a reliable “snapshot” of the real situation:

  • Faster, clearer documentation for decisions

  • Fewer misunderstandings and unnecessary investigations

  • More targeted actions for both coordinators and technicians

  • Time and cost savings through smarter troubleshooting and follow-up

“A quick snapshot of what it really looks like — for real.”

A concrete example

One example involved a lift button that occasionally got stuck. Previously, this might be described as “the lift is broken all the time.”

Now it’s possible to see exactly what happened, when it happened, and how often — and present the facts in black and white, instead of opinions.

Summary

By moving from guesswork to data, the City of Stockholm has gained:

  • Better control of how lifts are actually performing

  • Fewer incorrect assessments and miscommunication

  • A tool that saves time and money while enabling more accurate actions

  • Concrete support for the lift coordinator role
